Privacy policy

This policy explains how Rubix Labs handles information when you visit hirubix.com, contact our team, or otherwise interact with this website.

Scope

This policy applies to the public Rubix Labs website and project inquiries submitted through it. It does not govern products we build for clients, client-controlled systems, employee or applicant data, or services covered by a separate agreement or notice.

Information we collect

Information you provide

When you submit a project inquiry or contact us directly, we may receive your name, email address, company name, inquiry category, message, and any other information you choose to include. Please do not send passwords, payment-card data, health information, government identifiers, or other sensitive information through the contact form.

Information collected automatically

Our hosting and security systems process technical information needed to deliver and protect the site. This may include an IP address, request time, requested URL, browser and device information, approximate location derived from an IP address, security signals, referrer, and diagnostic or performance data.

We use Vercel Web Analytics for aggregated traffic information and Vercel Speed Insights for performance measurement. Vercel states that Web Analytics does not use third-party cookies, does not associate analytics with an identifiable person or IP address, and discards its visitor-session identifier after 24 hours. We do not send contact-form fields through custom analytics events.

How and why we use information

Where a legal basis is required, we rely on steps taken at your request before a contract, our legitimate interests in operating and securing our business and responding to relevant inquiries, compliance with legal obligations, or consent when applicable. You may withdraw consent where processing depends on consent, without affecting earlier lawful processing.

How we disclose information

We disclose information only as reasonably necessary for the purposes above:

Rubix Labs does not sell personal information or share it for cross-context behavioral advertising. We do not use sensitive personal information to infer characteristics about visitors.

Retention

We generally retain project inquiries for up to 24 months after the last meaningful interaction so we can follow up and maintain appropriate business records. We may retain information longer when an engagement begins, when reasonably required for security or dispute records, or when law requires it. We delete or de-identify information when it is no longer reasonably needed. Infrastructure and security records follow the applicable provider settings and retention periods.

Security

We use administrative, technical, and organizational measures designed to protect information, including encrypted transport, restricted server-side credentials, request validation, bot detection, abuse controls, and limited collection. No internet service can guarantee absolute security, so please use care when deciding what to send.

International processing

Rubix Labs and its service providers may process information in the United States and other countries. Privacy protections may differ from those in your country. Where required, transfers are supported by an applicable legal mechanism or another lawful basis.

Your privacy rights

Depending on where you live, you may have rights to request access, correction, deletion, restriction, objection, portability, or information about disclosures; to withdraw consent; or to appeal a denied request. You may also complain to your local data-protection authority. These rights can be limited by law, and we may need to verify your request.

To make a request, email contact@hirubix.com with “Privacy request” in the subject. Authorized agents may submit requests where applicable, but we may require proof of authority and identity. We will not discriminate against you for exercising an applicable privacy right.

Children

This business-to-business website is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child submitted information, contact us so we can review and delete it as appropriate.

Third-party links

The site may link to websites or services we do not control. Their privacy practices are governed by their own notices, not this policy.

Changes to this policy

We may update this policy to reflect changes in the website, our practices, or legal requirements. We will post the revised version here and update the effective date. If a change is material, we will provide additional notice when required.
